Position Title: Reception and Administration Assistant Reports to: Accounting and Administration Manager Normal Hours: Monday – Friday Direct reports: None Date reviewed: 21 February 2012

Reporting to the Accounting and Administration Manager you will be the first point of contact for our team and key responsibilities include all office support and administration for a small and busy team.
KEY RESPONSIBILITIES
- Answering incoming calls, taking messages and transferring calls
- Meeting and greeting visitors to the office
- Processing incoming and outgoing post/faxes/emails and booking couriers, banking
- Arranging meetings, catering, equipment, etc
- Ordering stationery and maintaining office supplies
- Providing administrative support including filing, faxing, scanning documents, etc including entering expenses information and accounts payable in MYOB
- Accounts payable tasks including keying supplier invoies, raising and matching purchase orders and payment of accounts, including entering expenses information and accounts payable in MYOB
- Ensuring the reception and offices are tidy at all times
- Data entry and updating databases
- Oversee the filing system for Group’s companies and ensure that the appropriate records are being kept and maintained.
- Assisting the Accounting & Administration Manager with other duties as required.
- There will be other small tasks from time to time as the Argosy is a small office and a hands-on working environment is encouraged and required.
- Due to the nature of this business, you may be required to work outside of normal business hours, for example when there are weekend events where your assistance may be required.
EXPERIENCE, SKILLS & QUALIFICATIONS - Minimum 2 years experience as a Receptionist & Administration Assistant
- Working knowledge of MYOB
- Accurate data entry with minimum 8,000 ksph
- Intermediate Microsoft Excel and Word
- Preferred experience with Mac hardware and software
- Current drivers license and own vehicle
- Office and administration training/certificate or diploma preferable
